Introduction
We undertake insurance work, contract work and wet rooms. Our goals are to meet and exceed the expectations of every customer. We undertake all flooring projects in private residences and across many commercial sectors, including healthcare, corporate, retail, leisure, hospitality, education and industry. Our work is carried out to the highest standards and at a competitive price by experienced, enhanced DBS-checked, and CSCS-certified flooring fitters.
What type of information we have
1st Choice Flooring Solutions will require information that is relevant to the service and products require to meet the customer’s needs and expectation. Our team offer a professional service whereby we will provide a copy of our Terms and Conditions so that all customers have better understanding as to why we need the information.
We currently collect and process the following information:
- Client details, including addresses, telephone numbers, email addresses and payment details,
- Information of our flooring suppliers,
- Location of flooring area,
- Underfloor heating and general temperature of the room,
- Any issues with the flooring,
- Any key fobs or access passes
How we get information and why we have it
Our customer has access to:
- Our website (which provides details of the following),
- Direct phone calls,
- Email address
However, we do receive:
- Recommendations,
- LinkedIn enquiries,
- Instagram,
- Facebook,
- Twitter (Newly known as X),
- Google+
Most of the information we process is provided to us directly from the client so that we can provide an effective and efficient service for our clients. This will allow us to check stock and order necessary flooring for our clients. However, we will track progress and inform you of delays or any changes to your original appointment. All email quotations and invoices will follow on acceptance. 1st Choice Flooring Solutions Ltd would expect written confirmation that the room is clear from any furniture, appliances and any other source of obstruction. We also require the information for invoice purposes.
The information that you have given us needs to be accurate, therefore we may need to confirm that your information is correct.
We may share this information with HMRC, IT companies, VAT, debt recovery agencies or any other legal authorities.

What we do with the information
We use the information provided to proceed with the installation of the flooring. The information is important as it need to be communicating with the right person within the company.
All client information remains with our internal contracted team, no information is shared with any companies or individuals without consent from the customer. However, we do have a duty to shared or give access to some or all your information.
Our existing third parties are
- Accountant for the financial information,
- HMRC,
- VAT,
- IT Security team to ensure our storage system remains secure,
- Insurance company if required,
- Debt Collection Agencies,
- Any other legal authorities.
Where possible we will notify our customers if we need to instruct a legal team.
How we store the information
Our customer electronic information is securely stored within the cloud, or the paper documents are store in a lockable cabinet. However, 1st Choice Flooring Solutions will make it a duty to minimise the use of paper in the office so that electronic notes are encouraged.
We keep any information you provide for a specific time frame. We will then dispose of our invoice information after 7 years unless it has a legal hold.
Once a customer decides they no longer wish for us to keep their information or does not proceed with the flooring service we will delete their information. This is because we will have no legitimate reason to retain your information.
Data Protection Rights
Under data protection law, you have rights including:
- Your right of access – You have the right to ask us for copies of your personal information.
- Your right to rectification – You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to provide information you think is incomplete.

Customers are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
